Why Do We Need Your Phone Number to Ship a Chemical Sample? A Real Case of Light Stabilizer 123 Shipping to Germany

When customers request chemical samples from international suppliers, they usually focus on the product itself: sample quantity, product specification, packaging, price, delivery time, and technical documents.

However, there is another small but important piece of information that is sometimes required before a sample can be shipped: the consignee’s phone number.

For some customers, providing a phone number is completely normal. For others, especially individual customers, it can raise privacy concerns. They may worry about receiving spam calls, marketing messages, or having their personal information shared with third parties.

Recently, we encountered exactly this situation when a customer in Germany requested a 25 ml sample of Light Stabilizer 123 from Ecochem.

The customer had already provided a complete delivery address but was reluctant to provide his phone number because he was concerned about spam.

This is a very reasonable concern.

So why does a courier sometimes require a phone number for an international chemical sample shipment? Is it really necessary? And how can chemical suppliers and customers handle this issue while respecting privacy?

In this article, we would like to explain the situation based on our real experience at Ecochem.

1. A Real Customer Request: 25 ml Light Stabilizer 123 Sample

The story started with a simple sample request.

A customer in Germany contacted Ecochem and requested a 25 ml sample of Light Stabilizer 123 for evaluation.

Light Stabilizer 123 is a HALS (Hindered Amine Light Stabilizer) widely used in polymer and plastic applications. Customers may request samples before placing a larger order because they need to evaluate compatibility, processing performance, light stability, weathering resistance, or performance in their own formulation.

For a sample shipment, the customer provided his complete shipping address:

Ronny XXXXXXX Germany

From the customer’s perspective, the shipping information seemed complete.

After all, the courier already had the recipient’s name and full address.

However, when we prepared the shipment, our courier informed us that a valid consignee phone number was also required to create the shipping order.

We therefore contacted the customer and asked him to provide a mobile phone number.

The customer replied:

“Normally the mail address is enough for customs. The phone is not required. I always get a lot of spam when I share my phone number.”

We completely understood his concern.

Nobody likes receiving unwanted calls or messages simply because they provided their phone number to a supplier.

But this raised an important question:

Why does a courier need a phone number if the delivery address is already complete?

2. Why Is a Phone Number Sometimes Required for International Shipping?

The requirements for international shipments can vary depending on the destination country, courier company, shipment type, and customs procedures.

For ordinary documents or some consumer parcels, an address may sometimes be sufficient.

However, for international commercial shipments, especially shipments involving chemical products or samples, couriers may request additional contact information.

The phone number can be used for several practical purposes.

2.1 Creating the Courier Shipment

The first reason is surprisingly simple.

The courier’s shipping system may require a consignee phone number before the shipment can be created.

Even if the phone number is not directly needed for customs, the courier’s logistics system may require it as a mandatory field.

In our case, the courier informed us that without a valid phone number, they could not complete the shipping order.

This means that the issue was not created by Ecochem as a seller.

It was a requirement from the logistics side.

3. The Courier May Need to Contact the Recipient

International delivery is not always as straightforward as domestic delivery.

A parcel can encounter various situations during transportation:

  • The courier cannot locate the address.
  • The recipient is unavailable.
  • The courier needs delivery instructions.
  • The shipment is held for additional information.
  • Customs requests clarification.
  • The recipient needs to confirm delivery arrangements.
  • There is a problem with the declared information.

In such situations, having a direct contact number can significantly speed up communication.

An email can work, but email communication is not always immediate.

A courier driver may be trying to complete delivery at that moment, while a customs department may have a short window for requesting additional information.

A phone number provides another communication channel.

4. Chemical Samples Can Require More Attention

Chemical sample shipments can sometimes be more complicated than ordinary commercial products.

Depending on the chemical, its classification, quantity, packaging, and destination, additional transportation or customs requirements may apply.

Some products may be classified as dangerous goods, while others may not be.

For example, a chemical sample may require specific packaging, product documentation, SDS information, declaration information, or special transportation arrangements.

This is why the shipping process for a chemical sample should not always be compared with sending an ordinary parcel such as clothing, books, or household items.

At Ecochem, we therefore confirm the shipping requirements with the courier before arranging international sample shipments.

Our goal is not to collect unnecessary customer information.

Our goal is to make sure that the shipment can actually be accepted, transported, cleared, and delivered.

5. “I Don’t Want to Give My Phone Number Because of Spam”

This is an increasingly common concern.

When customers receive emails from international suppliers, they may wonder:

Where will my phone number go if I provide it?

Could it be used for marketing?

Could it be sold to another company?

Could it result in unwanted calls?

These concerns are understandable, particularly for individual customers purchasing small samples.

In our case, the German customer specifically explained that he often received spam after sharing his phone number.

We did not want to dismiss his concern.

Instead, we explained why the courier was asking for the number.

The important distinction is:

The phone number is required for logistics purposes, not for marketing purposes.

At Ecochem, the phone number provided for a sample shipment is used as shipping contact information so that the courier can arrange delivery and, when necessary, communicate about customs or shipment-related issues.

It is not requested because we want to send promotional calls or messages.

6. How Can Customers Protect Their Privacy?

If you are ordering a chemical sample from an overseas supplier and the courier requires a phone number, there are several practical ways to reduce privacy concerns.

Option 1: Provide a business phone number

If you are purchasing on behalf of a company, a company telephone number can often be used when appropriate.

This is especially convenient for purchasing departments, laboratories, factories, and trading companies.

Option 2: Provide the phone number of the logistics contact

If your company has a warehouse, receiving department, purchasing department, or logistics coordinator, you may be able to provide the appropriate contact person’s number.

This allows the courier to reach someone responsible for receiving shipments.

Option 3: Confirm how the supplier will use the information

Customers can simply ask:

“Why do you need my phone number?”

A professional supplier should be able to explain the reason clearly.

For example:

“The courier requires the consignee’s phone number to create the shipping order and arrange delivery. It will only be used for shipment-related communication.”

There is nothing wrong with asking this question.

In fact, customers should understand how their personal information will be used before providing it.

7. What If the Customer Refuses to Provide a Phone Number?

This is where communication between the supplier and customer becomes important.

If the courier’s system makes the phone number mandatory, the supplier may not be able to create the shipment without it.

In this situation, repeatedly telling the customer:

“Give me your phone number.”

is not the best approach.

Instead, the supplier should explain:

  1. Why the number is required.
  2. Who requires it.
  3. How it will be used.
  4. Whether there is an alternative contact number.
  5. Whether a company or logistics contact can be used instead.

For example, at Ecochem we explain that the requirement comes from the courier and logistics system, rather than being an additional requirement invented by our company.

This small explanation can make a big difference.

The customer can understand that the supplier is not trying to collect unnecessary personal information.

8. Our Approach to Chemical Sample Shipping at Ecochem

At Ecochem, sample orders are an important part of our international business.

Customers may request samples of:

  • HALS / Light Stabilizers
  • UV Absorbers
  • Antioxidants
  • Polymerization Inhibitors
  • Optical Brighteners
  • Other polymer additives and chemical intermediates

A sample allows customers to conduct their own testing before moving to a larger commercial order.

Our typical sample process is:

Sample Inquiry → Product Confirmation → Sample Preparation → Shipping Information → Courier Confirmation → Shipment → Customs Clearance → Delivery

Before shipment, we need to confirm that the courier can accept the product and that the shipping information is sufficient.

Depending on the product and destination, this may include:

  • Consignee name
  • Complete delivery address
  • Email address
  • Phone number
  • Product name
  • Quantity
  • Packaging information
  • SDS or other required documents
  • Customs declaration information

Not every shipment requires exactly the same information.

The final requirements depend on the courier, destination, product, and transportation method.

9. Why Good Communication Matters More Than the Phone Number Itself

The real lesson from this Light Stabilizer 123 shipment is not simply that customers should provide their phone numbers.

The bigger lesson is that international chemical shipping requires communication and mutual understanding.

The customer has the right to protect his personal information.

The supplier has the responsibility to provide accurate shipping requirements.

The courier has its own operational and compliance requirements.

All three sides need to work together.

For the customer, it is reasonable to ask:

“Why do you need this information?”

For the supplier, the correct response should be:

“Here is why we need it, and here is how it will be used.”

That is much better than simply saying:

“The courier requires it.”

Transparency builds trust.

10. Our Experience With the German Light Stabilizer 123 Sample

Returning to our real case, our customer Ronny had already provided his complete German delivery address.

He was concerned about spam and therefore did not want to share his phone number.

We understood his position.

At the same time, our courier clearly informed us that the consignee’s phone number was required to create the shipment.

Therefore, we explained to the customer that the number was required by the courier and logistics system and would only be used for shipment delivery and customs-related communication.

This kind of situation may seem like a small detail.

But in international chemical trading, small details can determine whether a sample shipment moves smoothly or gets delayed.

A complete address, correct product description, appropriate packaging, accurate documentation, and valid contact information can all help reduce unnecessary delays.

11. Before Ordering a Chemical Sample, What Information Should You Prepare?

If you are planning to order a chemical sample from an overseas supplier, preparing the following information in advance can make the process faster:

Basic shipping information

  • Full recipient name
  • Company name, if applicable
  • Complete delivery address
  • Postal code
  • City and country
  • Email address
  • Contact phone number, if required by the courier

Product information

  • Product name
  • CAS number, if available
  • Sample quantity
  • Intended application or testing purpose

Documentation

Depending on the product and destination, you may need:

  • SDS
  • TDS
  • COA
  • Commercial invoice
  • Packing information
  • Customs declaration information

Having this information ready can help the supplier and courier arrange the shipment more efficiently.

12. Final Thoughts: Privacy and Logistics Can Coexist

The question of whether a customer needs to provide a phone number may seem insignificant.

But for an international chemical sample shipment, it can become an important part of the logistics process.

Our recent experience with a 25 ml Light Stabilizer 123 sample shipment to Germany showed us both sides of the issue.

From the customer’s perspective:

“I don’t want to receive spam.”

From the courier’s perspective:

“We need a phone number to create and deliver the shipment.”

Both positions are understandable.

The solution is not to ignore the customer’s privacy concerns, nor is it to ignore the courier’s shipping requirements.

The solution is clear communication and transparency.

If a phone number is required, the supplier should explain why.

If the customer has privacy concerns, the supplier should respect those concerns and explain how the information will be used.

At Ecochem, we believe that international chemical trading is built not only on product quality and competitive pricing, but also on trust, communication, and reliable service.

Whether you need a 25 ml sample of Light Stabilizer 123 or a larger quantity of polymer additives, we are happy to discuss your sample requirements and help you understand the shipping process before we arrange delivery.

Because sometimes, successful international trade starts with answering a very simple question:

“Why do you need my phone number?”

And a professional supplier should always be ready to give you a clear answer.
