How ECOCHEM Handles Chemical Samples: From Sample Request to International Delivery
Recently, we received a very simple inquiry from a customer in Germany:
“Hi,
I’d like to get a sample – Light Stabilizer 123, 25ml shipped to Germany.”
At first glance, this looks like a very straightforward sample request.
The customer needs only 25ml of Light Stabilizer 123 and wants it delivered to Germany.
For many ordinary products, sending a 25ml sample would be very simple. Put the product into a small package, print the shipping label and send it by courier.
But chemical products are different.
When we receive a chemical sample request, there are several things we need to consider before we can actually put the sample into a parcel and send it internationally.
We need to check the product, transportation requirements, documents, packaging, shipping method, destination country and courier acceptance.
This made us realize that many other customers may have exactly the same questions.
Can chemical samples be shipped internationally?
Are chemical samples free?
Why does a small chemical sample sometimes have a relatively high shipping cost?
What documents are required?
How does ECOCHEM package chemical samples?
Can customers use their own DHL, FedEx or UPS account?
So, in this article, we would like to explain how we normally handle chemical sample requests at ECOCHEM.

What Happens When We Receive a Chemical Sample Request?
When a customer asks us for a chemical sample, we don’t simply look at the quantity and arrange a courier.
The first step is to understand exactly what the customer needs.
For example, in the inquiry above, the customer provided:
- Product: Light Stabilizer 123
- Sample quantity: 25ml
- Destination: Germany
This is already enough for us to start checking the sample.
However, for a smooth international shipment, we may also need the customer’s complete delivery address and recipient’s telephone number.
The more complete the information, the faster we can check the shipping solution.
Step 1: Confirm the Product
First, we confirm the exact product name and, whenever possible, the CAS Number.
This is important because chemical products can have different commercial names, brand names or synonyms.
The CAS Number helps us identify the exact chemical and check the relevant transportation requirements.
For customers who are not sure about the exact product name, we can also review the technical requirements or the customer’s requested grade.
Step 2: Confirm the Sample Quantity
The quantity is another important factor.
A customer may request:
- 25ml
- 50ml
- 100g
- 500g
- 1kg
- 5kg
- 25kg
A 25ml laboratory sample and a 25kg commercial sample obviously require completely different shipping arrangements.
For this reason, we always confirm the required quantity before preparing the shipment.
Step 3: Confirm the Destination
The destination country also matters.
Shipping chemical samples to Germany may have different requirements from shipping the same product to the United States, Brazil, India, South Africa or another country.
We therefore need the destination information before selecting a shipping method.
Are Chemical Samples from ECOCHEM Free?
This is one of the most common questions we receive.
For many of our regular products, samples up to 100g can be provided free of charge.
This means that if a customer needs a small quantity for laboratory testing, we can often provide the product itself without charging a sample fee.
For example, if a customer needs 50g or 100g of a polymer additive for initial testing, we can normally offer the sample free of charge, subject to product availability.
However, there is an important difference between the sample cost and the shipping cost.
Samples Up to 100g
Our general policy for many regular products is:
Sample up to 100g: Free
International shipping: Paid by the customer
This allows customers to test our material before making a larger purchase.
We believe this is a practical way for new customers to evaluate our products and build confidence before moving forward with commercial cooperation.
When Is a Sample Fee Required?
Not every sample is necessarily free.
If a customer requests a larger quantity, such as:
- 500g
- 1kg
- 2kg
- 5kg
- 25kg
a sample or product fee may apply.
Certain specialty chemicals may also have specific sample policies.
In such cases, we will confirm the sample cost with the customer before shipment.
The customer will always know the cost before we arrange the shipment.

Why Does the Customer Need to Pay the Shipping Cost?
Although the sample itself may be free, international transportation is normally paid by the customer.
This is especially important for chemical products.
A customer may request only 25ml or 50g, but the actual shipping cost may be much higher than the value of the chemical sample.
Why?
Because the shipping cost is not simply based on the amount of chemical inside the package.
There may be additional costs associated with chemical transportation.
Chemical Shipping Is Different from Ordinary Parcel Delivery
When you order an ordinary product online, the seller may simply put the product into a carton and send it through a standard courier network.
Chemical products may require additional procedures.
Depending on the product, we may need to prepare:
- SDS / MSDS
- Transportation documentation
- Air transport identification documentation
- Special packaging
- Special handling
- Dangerous goods processing
- Customs documents
These additional requirements can make chemical sample shipping more expensive than normal parcel delivery.
We understand that customers may find this surprising when they only need a very small quantity.
However, these costs are related to the transportation requirements of chemical products rather than the value of the sample itself.
How Can Customers Pay for Chemical Shipping?
When arranging a chemical sample shipment, customers normally have two options.
Option 1: Use Your Own DHL, FedEx or UPS Account
If your company already has a DHL, FedEx, UPS or another courier account, you can provide your account information to us.
We can then check whether the courier accepts the specific chemical and whether the account can be used for the shipment.
This can be convenient for customers who already have their own international logistics arrangements.
Option 2: ECOCHEM Arranges the Shipment
If you don’t have a courier account, that’s completely fine.
We can check the available shipping options through our logistics partners or chemical shipping agents.
We will confirm the shipping cost with you before arranging the shipment.
Once you approve the cost, we can prepare the sample and arrange the delivery.
For customers who do not have experience with international chemical shipping, this option is usually much easier.
Why Do Chemical Samples Require Special Documents?
This is another important difference between chemical products and ordinary goods.
Before sending a chemical sample by air or express courier, the logistics provider may need to review the product’s safety and transportation information.
SDS / MSDS
The first important document is the SDS, also commonly called MSDS.
The SDS provides information about the chemical’s properties, hazards, handling, storage and transportation.
The courier or logistics agent may use the SDS to determine how the product should be transported.
For this reason, having an accurate SDS is an important part of the sample shipping process.
Air Transport Identification
For certain chemical products, especially those that may be classified as dangerous goods, an air transport identification report or dangerous goods identification certificate may be required.
This documentation helps determine whether the chemical can be transported by air and what transportation requirements apply.
Therefore, we need to check the product before arranging air shipment.
Other Shipping Documents
Depending on the shipment, other documents may include:
- Commercial Invoice
- Packing List
- Product information
- Country of origin
- Transportation documents
- Customs-related documents
The exact requirements depend on the chemical, shipping method and destination country.
How Does ECOCHEM Package Chemical Samples?
Packaging is another important part of our sample process.
We do not use exactly the same packaging for every chemical.
The packaging depends on the physical form and characteristics of the product.
Liquid Chemical Samples
For liquid products, we normally use aluminum foil bag packaging, depending on the product characteristics and transportation requirements.
The sample is then placed into suitable outer packaging for transportation.
The packaging is selected to provide appropriate protection during transportation.
Powder and Granular Chemical Samples
For powder and granular products, we normally use:
PE bag + carton
The product is first packed into an appropriate PE bag and then placed into a carton.
If the product has special transportation requirements, the packaging can be adjusted accordingly.
Why Is Chemical Sample Packaging Important?
Chemical samples may experience handling, vibration and temperature changes during international transportation.
Proper packaging helps reduce the risk of:
- Leakage
- Package damage
- Product contamination
- Moisture exposure
- Transportation problems
Therefore, packaging is not just about making the parcel look good.
It is an important part of safe chemical transportation.
What Information Do We Need from the Customer?
If you would like to request a chemical sample from ECOCHEM, providing complete information will help us process your inquiry more efficiently.
Product Name
Please tell us the exact product you are interested in.
For example:
Light Stabilizer 123
or:
UV-531
UV-326
Antioxidant 1010
Antioxidant 168
and so on.
CAS Number
If you know the CAS Number, please include it.
This is especially useful when different suppliers use different commercial names for similar products.
Sample Quantity
Please tell us how much you need.
For example:
25ml
50g
100g
500g
1kg
Complete Delivery Address
Please provide:
- Company name
- Recipient name
- Street address
- City
- Postal code
- Country
A complete address allows us to check the shipping cost more accurately.
Recipient’s Phone Number
A valid telephone number is also important.
The courier may need to contact the recipient for delivery or customs-related matters.
For this reason, please always provide the recipient’s phone number when requesting a sample.
Can ECOCHEM Ship a 25ml Chemical Sample?
Yes, in many cases.
The inquiry that inspired this article was for:
Light Stabilizer 123 — 25ml — Germany
This is a typical laboratory sample request.
For many chemical products, a small quantity such as 25ml can be prepared for testing.
However, whether the sample can be shipped by a particular courier depends on the product’s transportation classification.
We therefore need to check the chemical and shipping requirements before confirming the final shipping method.
What If I Need Only 50g or 100g?
That’s also common.
Many customers request 50g or 100g because this is sufficient for their initial laboratory evaluation.
For many of our regular products, samples up to 100g can be provided free of charge.
The customer normally needs to cover the international shipping cost.
What If I Need 1kg or More?
If you require a larger quantity, please tell us the reason for the sample and the required amount.
For quantities such as 500g, 1kg or more, we may need to charge for the product sample.
We can also discuss whether a larger trial order would be more economical than a small courier shipment.
Can Chemical Samples Be Shipped to Germany?
Yes, we can check the possibility of shipping chemical samples to Germany.
The German customer inquiry mentioned at the beginning of this article is a good example.
However, the shipping arrangement depends on the specific chemical.
Before shipping, we need to consider:
- Product classification
- Sample quantity
- Transportation method
- Required documents
- Courier acceptance
- German import requirements
The same principle applies to other countries.
If you want to receive a chemical sample, simply tell us the destination country and we can check the available shipping solution.
What About Customs Clearance?
International chemical shipments may be subject to customs inspection and import regulations.
This is particularly important for chemicals that are regulated or classified as dangerous goods.
Can Customs Stop a Chemical Sample?
Any international shipment can potentially be inspected by customs.
For chemical samples, customs may pay particular attention to the product description, documentation, classification and import requirements.
This is why proper documentation is important.
What Should the Customer Check?
Before importing a chemical sample, customers should check whether:
- The chemical is permitted for import
- Special registration is required
- Import licenses are required
- Quantity restrictions apply
- Additional documentation is needed
The specific requirements vary from country to country.
The supplier can assist with product and shipping documentation, but the final import decision is made by the customs and regulatory authorities in the destination country.

Why Do We Encourage Customers to Test Samples First?
A chemical sample is not simply a small package.
For us, it is often the beginning of a long-term business relationship.
Before purchasing a large quantity, customers may want to evaluate:
- Product quality
- Purity
- Appearance
- Compatibility
- Processing performance
- Stability
- Application performance
This is especially important for polymer additives.
For example, a customer may want to test a light stabilizer in a specific plastic formulation before deciding whether to purchase 500kg or 1MT.
We completely understand this.
That is why we are willing to support customers with laboratory samples whenever possible.
From a 25ml Sample to a Long-Term Business Relationship
The original inquiry was only one sentence:
“I’d like to get a sample – Light Stabilizer 123, 25ml shipped to Germany.”
But behind this simple request are many questions about product availability, packaging, documents, transportation, shipping cost and customs clearance.
This is exactly why we decided to write this article.
We want our customers to understand that when we say:
“Yes, we can send you a sample.”
we are also thinking about everything behind that shipment.
We need to make sure the correct product is prepared.
We need to make sure the packaging is suitable.
We need to prepare the necessary documents.
We need to check whether the courier can accept the chemical.
We need to find a suitable transportation solution.
And we need to provide the customer with tracking information after shipment.
For ordinary products, international shipping can be very simple.
For chemical products, it requires more preparation.
We hope customers can understand why chemical sample shipping may cost more than ordinary parcel delivery.
The additional cost is not simply related to the quantity of the sample.
It is related to the special requirements involved in safely and legally transporting chemical products internationally.
